Adding a new booking

Follow these steps to add a new daycare booking:


From the Daycare Calendar form:

  1. Open the Daycare Calendar form if it is not already open.
  2. Click on the required day in the month view to view bookings on that day.
  3. Click on a unbooked cell in the calendar grid in the column of the daycare group required.
  4. Click on the New button in the calendar ribbon OR right-click and choose New Booking from the menu, OR double click the cell.
  5. The Daycare Booking form will appear and will be set to NEW mode. The “Date” and “Group” fields will already be set – these can be changed if you wish. Select the Session Type of the booking.
  6. Select the customer, and the “Pets” grid will be populated with the selected customer’s pets – tick the pets that the booking is for. The Pets grid will display the rate being charged for each pet, based on the session type selected. You can override these rates if required and also the quantity (e.g. if making a 4 hour booking, the “Session Type” would be Hourly Charge and you would change the “Qty” column to 4). You can search for a customer or add a new customer or pet using the buttons next to the “Customer” drop-down and “Pet” grid.
  7. Leave “Payment Method” as “Invoiced” if the customer will be paying for this booking via an invoice. If the customer has a current prepaid credit, then change the payment method to “Prepaid Credit” and select the prepaid credit to use from the drop-down field.
  8. For “Invoiced” bookings, if any rate variations have been defined that cover the number of pets in the booking, then these are brought through and the charge adjusted as appropriate. You can untick the “Used” column if you don’t want a particular rate variation to be applied to the booking.
  9. You can set the booking to recur every week by ticking “Recurs” and ticking the days to recur on, and optionally specify an end date to stop the recurrence on. Adjusting the number in the “Weeks” field makes the recurrence every 2, 3, 4 weeks as specified.
  10. To select additional services for the booking, choose the required service from the Service drop-down, and change the number of occurrences and rate if required. Move off the row in the Services grid to add it to the booking.
  11. Click OK to save the booking record. If you have configured PetLinx to send confirmations (see System Options – Daycare), a confirmation of the booking will be sent to the customer at this point.


In the Menu:


  1. Locate the customer/pet in the Customer/Pet List or search for the customer/pet. Once found, click to select it.
  2. Click the New Booking button at the top of the menu to load the Daycare Booking form. Alternatively if you have the Daycare Calendar open, click and hold the mouse button down then drag and drop the customer or pet onto the date and daycare group you require.
  3. Follow the instructions in the “From the Daycare Calendar form” section above to complete entry of the booking.


From the Customer or Pet flyout:


  1. Locate the customer/pet in the Customer/Pet List or search for the customer/pet. Once found, double click or hit the ENTER key to open the customer or pet flyout. Click the Bookings tab.
  2. Click Actions – New or Actions – New Daycare (if multiple modules are in use) to open the Daycare Booking form.
  3. Follow the instructions in the “From the Daycare Calendar form” section above to complete entry of the booking.
